About the role:
We are looking for someone who can unlock the potential of our operational processes in an extremely fast-paced environment. As an Operations Specialist, you will own the end-to-end process associated with the installation of parcel machines across the UK. This role involves maintaining accurate records & administrative tasks and the ideal candidate will possess strong organisational skills, analytical capabilities, and the ability to collaborate effectively with stakeholders.
Key areas of responsibility:
- Schedule and manage sites across multiple locations simultaneously.
- Create and maintain a direct relationship between site landlords, commercial managers and installation service providers.
- Facilitate the end to process from site survey to install completed.
- Deliver on key installation and operational KPIs
What you’ll be doing:
As an Independent Operations Specialist, you will be responsible for managing the end-to-end process of the independent sector locker installations. You will work closely with several allocated Business Development Managers to assist them in getting a site ready for handover through to deployment, being the first point of contact for any queries they may have. Many of the responsibilities below run simultaneously with each other so attention to details is key.
Daily Responsibilities include:
- Manging the handover of sites from Closed-Won stage into the deployment pipeline, ensuring all pre-deployment checks have been conducted.
- Reviewing surveys as and when they come in to assess the viability of a proposed locker location - taking into consideration logistical challenges, user and locker safety as well as the various install principles we have in place.
- Assess non-viable sites before deeming them “Lost” to see if there are alternative solutions to make the site viable – i.e. can we install in a different location, can we use a different locker configuration, are there any “out the box” solutions we could try?
- Managing workload allocation to contractors through requests on the weekly work orders. This will include survey requests, quotations, enabling works dates and machine installation dates.
- Reviewing and updating your deals daily to progress them to the next stage. This will include updating quotes and dates, obtaining all essential information from relevant departments, moving deals along the stages on our pipedrive system and keeping accurate notes on your deals to inform all of progress and status.
- Conducting weekly review sessions with your Business Development Manger to keep them updated on the progress of their deals, working together to resolve any problem sites.
- Communicate with landlords to inform them of any cancelled or rescheduled works.
- Reviewing enabling works Jotforms to check that the work has been completed on the scheduled date, that they have been carried out in the agreed locations and to InPost specifications.
- Liaising with the Contractor executive to follow up on any contractor conduct queries, such as missing JotForm submissions or quality of works.
- Liaising with our contractors via email/phone/weekly meetings.
- Taking part in, and occasionally running, all weekly meetings both internal and external.
- Spotting trends and flagging to the deployment managers when a common trend needs looking at – i.e. contractors consistently returning surveys late and offer suggestions on ways to resolve.
- Proactively Flagging to your line manager when deals are not progressing and require escalating.
- Participating on Ad-hoc projects to improve process flow
